For the provision of our Websites and platform, we use Microsoft Corporation (One Microsoft Way, Redmond, WA 98052, USA) with all data hosted in their UK South and UK West datacenters (Microsoft Azure) as a hosting provider ("Hosting Provider"). To ensure the safety of your data, we have entered into a data processing agreement with this Hosting Provider which will only process your data in accordance with our instructions and in compliance with UK GDPR.

qMateria does not use any third-party web analytics or behavioural tracking tools on its Websites. No advertising cookies or cross-site tracking of visitors takes place.

Your log and usage data will be deleted after 30 days, unless we are under a legal obligation to further store your data.

2. Contacting Us

Short version: We process the data you provide when you contact us to answer your request.

If you have any questions or requests, please do not hesitate to contact us. When you contact us, e.g. via the contact form on our Website or by email, we will process the following personal data that you have provided:

We will delete your personal data two years following the completion of your enquiry, unless we are legally obliged to store it for a longer period.

3. Registering on Our Platform; User Accounts

Short version: We process your data to enable you to open a user account with us. Registration requires a valid company email address.

When you register on qmateria.app and create a user account, we will process the following data:

  • Full name
  • Company email address
  • Company name
  • Job title
  • Password (stored in encrypted form)

Important: qMateria only accepts registrations using a valid company email address. Personal email addresses (such as Gmail, Hotmail, Yahoo, or similar) are not accepted. Registration confirms that you are acting in a professional capacity on behalf of, or with the authorisation of, your employing organisation.

To verify your user account, we use a verification procedure. You will receive an email requesting confirmation of your request to create a user account. As soon as we receive your confirmation, we will verify your account.

We process your data to enable account creation and the logon process (Art. 6(1)(b) UK GDPR). Where you register on behalf of a company, we process your data based on our legitimate interest in providing our services to your organisation (Art. 6(1)(f) UK GDPR).

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to offer you a registration without it.

We will keep your data for as long as you have an active user account with us. qMateria does not provide a self-service account deletion option. If you wish to delete your account, please submit a written request to admin@qmateria.io. Upon receipt of a valid deletion request, we will manually delete your account and associated personal data within 30 days, unless we are legally obliged to further store it.

4. Provision of Our Platform and Service Package

If you are working on a project using our platform, certain personal data of yours will be linked to that project. This may include:

  • Name
  • Company email address
  • Company name and job title
  • Log and Usage Data (as described above)
  • Device Data (as described above)
  • IP address
  • Model data and project files uploaded by you (Your Content)
  • Data Output reports generated by our platform
  • AI LLM chat interaction records associated with your Account

We process your data to be able to provide you with our Service Package if you enter into a contract with us as an individual (Art. 6(1)(b) UK GDPR). In all other cases, e.g. if you enter into a contract with us on behalf of a company, we process your data based on our legitimate interest to provide our products and the interest of third parties to purchase and use our products (Art. 6(1)(f) UK GDPR).

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to offer you a registration without it.

Platform Hosting. For the provision of our platform and Service Package, we use Microsoft Corporation (One Microsoft Way, Redmond, WA 98052, USA) with all data hosted in their UK South and UK West datacenters (Microsoft Azure) as a hosting provider.

Transactional Email. We use Microsoft 365 (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052, USA) as a service provider for sending transactional email (i.e. emails regarding your user account, for example account verification or password reset).

AI LLM Processing. Your Content (model data) is processed using Google Gemini, operated through Google Cloud Vertex AI (Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA), accessed via Google Cloud's UK datacenter infrastructure. Prior to any AI processing, all personal data, project identifiers, company names, individual names, and any other identifying information are stripped from the data. Only structural and material data parameters required for model interrogation are submitted for AI processing. We have entered into a data processing agreement with Google LLC in accordance with UK GDPR requirements. Your Content is not used to train Google's general AI models.

We will keep your data for as long as you have an active user account with us. If you request account deletion, we will delete your personal data, including project data, unless we are legally obliged to further store it. Apart from that, we delete database backups after 7 days, log messages after 10 days, and critical log messages after 30 days.

5. Tracking the Use of Our Platform

If you use our platform, we use Microsoft Azure Application Insights (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052, USA) to monitor the performance, reliability, and usage of our platform. In such case, we will process the following data:

  • Page load times and performance metrics
  • Error and exception logs
  • Feature usage patterns (anonymised)
  • Session duration and navigation paths
  • Operating system and browser version
  • IP address (anonymised)

We process your data to identify defects and to constantly improve and enhance our platform offering. We process your data to pursue our legitimate interests in maintaining, improving, and securing the platform (Art. 6(1)(f) UK GDPR). All Azure Application Insights data is hosted within Microsoft Azure UK datacenters under our existing data processing agreement with Microsoft.

Telemetry data is retained for 90 days and then automatically deleted.

6. Customer and Business Partner Relationships

Short version: We process your personal data to establish and maintain a business relationship with you or the company you work for.

To establish and maintain our business relationships with our clients, business partners, and other service providers, and to establish and fulfil contracts, we process personal data of our business partners and their employees and representatives. The personal data our business partners provide to us can include:

  • Title, name, and company email address
  • Business address and phone number
  • Information on professional role, company affiliation, and position
  • Bank details (where relevant to invoicing)

We process such personal data to establish and maintain a relationship with our business partner. We base the processing on our and our business partners' legitimate interest in establishing and maintaining business relationships (Art. 6(1)(f) UK GDPR). Furthermore, we might process your data to conclude and enforce contracts with you or the company you work for. If you enter into a contract with us as an individual, or we take steps at your request prior to entering into a contract, the legal basis for the data processing is Art. 6(1)(b) UK GDPR.

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to establish or maintain a business relationship or enter into and perform contracts with you or your company without it.

We will store your data for the duration of our business relationship / the contractual term and for an additional four years, unless we are legally obliged to store it for a longer period.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Websites is at your own risk. You should only access the Websites within a secure environment.

10. Do We Collect Information from Minors?

Short version: We do not knowingly collect data from or market to children under 18 years of age.

Hosting Provider. For the provision of our Websites and platform, we use Microsoft Corporation (One Microsoft Way, Redmond, WA 98052, USA) with all data hosted in their UK South and UK West datacenters (Microsoft Azure) as a hosting provider ("Hosting Provider"). To ensure the safety of your data, we have entered into a data processing agreement with this Hosting Provider which will only process your data in accordance with our instructions and in compliance with UK GDPR.

qMateria does not use any third-party web analytics or behavioural tracking tools on its Websites. No advertising cookies or cross-site tracking of visitors takes place.

Your log and usage data will be deleted after 30 days, unless we are under a legal obligation to further store your data.

All correspondence is managed using Microsoft 365 (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052, USA), with data processed within Microsoft's UK datacenter infrastructure under our existing data processing agreement with Microsoft.

We will delete your personal data two years following the completion of your enquiry, unless we are legally obliged to store it for a longer period.

3. Registering on Our Platform; User Accounts

Short version: We process your data to enable you to open a user account with us. Registration requires a valid company email address.

When you register on qmateria.app and create a user account, we will process the following data:

  • Full name
  • Company email address
  • Company name
  • Job title
  • Password (stored in encrypted form)

Important: qMateria only accepts registrations using a valid company email address. Personal email addresses (such as Gmail, Hotmail, Yahoo, or similar) are not accepted. Registration confirms that you are acting in a professional capacity on behalf of, or with the authorisation of, your employing organisation.

To verify your user account, we use a verification procedure. You will receive an email requesting confirmation of your request to create a user account. As soon as we receive your confirmation, we will verify your account.

We process your data to enable account creation and the logon process (Art. 6(1)(b) UK GDPR). Where you register on behalf of a company, we process your data based on our legitimate interest in providing our services to your organisation (Art. 6(1)(f) UK GDPR).

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to offer you a registration without it.

We will keep your data for as long as you have an active user account with us. qMateria does not provide a self-service account deletion option. If you wish to delete your account, please submit a written request to admin@qmateria.io. Upon receipt of a valid deletion request, we will manually delete your account and associated personal data within 30 days, unless we are legally obliged to further store it.

4. Provision of Our Platform and Service Package

If you are working on a project using our platform, certain personal data of yours will be linked to that project. This may include:

  • Name
  • Company email address
  • Company name and job title
  • Log and Usage Data (as described above)
  • Device Data (as described above)
  • IP address
  • Model data and project files uploaded by you (Your Content)
  • Data Output reports generated by our platform
  • AI LLM chat interaction records associated with your Account

We process your data to be able to provide you with our Service Package if you enter into a contract with us as an individual (Art. 6(1)(b) UK GDPR). In all other cases, e.g. if you enter into a contract with us on behalf of a company, we process your data based on our legitimate interest to provide our products and the interest of third parties to purchase and use our products (Art. 6(1)(f) UK GDPR).

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to offer you a registration without it.

Platform Hosting. For the provision of our platform and Service Package, we use Microsoft Corporation (One Microsoft Way, Redmond, WA 98052, USA) with all data hosted in their UK South and UK West datacenters (Microsoft Azure) as a hosting provider.

Transactional Email. We use Microsoft 365 (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052, USA) as a service provider for sending transactional email (i.e. emails regarding your user account, for example account verification or password reset).

AI LLM Processing. Your Content (model data) is processed using Google Gemini, operated through Google Cloud Vertex AI (Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA), accessed via Google Cloud's UK datacenter infrastructure. Prior to any AI processing, all personal data, project identifiers, company names, individual names, and any other identifying information are stripped from the data. Only structural and material data parameters required for model interrogation are submitted for AI processing. We have entered into a data processing agreement with Google LLC in accordance with UK GDPR requirements. Your Content is not used to train Google's general AI models.

We will keep your data for as long as you have an active user account with us. If you request account deletion, we will delete your personal data, including project data, unless we are legally obliged to further store it. Apart from that, we delete database backups after 7 days, log messages after 10 days, and critical log messages after 30 days.

5. Tracking the Use of Our Platform

If you use our platform, we use Microsoft Azure Application Insights (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052, USA) to monitor the performance, reliability, and usage of our platform. In such case, we will process the following data:

  • Page load times and performance metrics
  • Error and exception logs
  • Feature usage patterns (anonymised)
  • Session duration and navigation paths
  • Operating system and browser version
  • IP address (anonymised)

We process your data to identify defects and to constantly improve and enhance our platform offering. We process your data to pursue our legitimate interests in maintaining, improving, and securing the platform (Art. 6(1)(f) UK GDPR). All Azure Application Insights data is hosted within Microsoft Azure UK datacenters under our existing data processing agreement with Microsoft.

Telemetry data is retained for 90 days and then automatically deleted.

6. Customer and Business Partner Relationships

Short version: We process your personal data to establish and maintain a business relationship with you or the company you work for.

To establish and maintain our business relationships with our clients, business partners, and other service providers, and to establish and fulfil contracts, we process personal data of our business partners and their employees and representatives. The personal data our business partners provide to us can include:

  • Title, name, and company email address
  • Business address and phone number
  • Information on professional role, company affiliation, and position
  • Bank details (where relevant to invoicing)

We process such personal data to establish and maintain a relationship with our business partner. We base the processing on our and our business partners' legitimate interest in establishing and maintaining business relationships (Art. 6(1)(f) UK GDPR). Furthermore, we might process your data to conclude and enforce contracts with you or the company you work for. If you enter into a contract with us as an individual, or we take steps at your request prior to entering into a contract, the legal basis for the data processing is Art. 6(1)(b) UK GDPR.

While you are under no statutory or contractual obligation to provide us with your data, we will not be able to establish or maintain a business relationship or enter into and perform contracts with you or your company without it.

We will store your data for the duration of our business relationship / the contractual term and for an additional four years, unless we are legally obliged to store it for a longer period.

Although we will do our best to protect your personal information, transmission of personal information to and from our Websites is at your own risk.
